Planning a Family Reunion in the Poconos
Planning a Family Reunion
There's nothing like getting the whole clan together
to rekindle family ties, catch up on everyone's lives, marvel at the children,
share fond memories and simply enjoy your family's company. Make
your Poconos reunion a fun and memorable event. The following tips will
help organize and plan successful and enjoyable reunion experience.
As a family reunion planner you know that organization is the key to a
successful reunion. Here at Poconos PA Guide we know that Planning a Family
Reunion is not an easy task, and that every reunion presents different
challenges. However, we have put together a "Family Reunion Planner
Checklist" for you to customize and get started in Planning the best
Family Reunion every family member will be talking about for the years
to come.
1. Create a list of Family Members and contact
information.
2. At this point is very important to choose the right people to
delegate responsibilities and establish some roles for them
to take on. Make sure you cover the most important areas like: budget,
location, entertainment, communications, food, etc.
3. Select type of reunion, date, location and length of the reunion.
With an approximate number of attendees and some ideas from your Planner
Volunteers, you should decide if the reunion will be outdoors, indoors,
at a family member' house, at a restaurant, hotel, resort, park or other
type of set up.
Then decide the length of the reunion: will it be only for one day? one
week? one weekend? Keep in mind that reunions that last more than one
day will require overnight accommodations for the family members from
out of town, and in these cases is actually easier to hold your family
reunion at a hotel or resort where a Reunion Coordinator will take care
of your entire reunion from welcoming reception to activities, meals and
group discounts.
Location: Choosing the Poconos to hold your reunion is a smart decision.
Located approx. 1 and a half hour from NYC and Philadelphia and easily
accessible by routes 80, 84, 78 and 33. Served by Newark International
Airport, Lehigh Valley Airport and Wilkes-Barre/ Scranton Airport.
It's always good to have at least 3 tentative dates to hold your reunion.
Present them to your Planner Volunteers and based on their feedback choose
a reunion date. If staying overnight, keep in mind that lodging
facilities will give you better rates during off-season. Your travel
and lodging planners should contact lodging facilities or setup locations
in the area to get the best packages available.
4. Creating a Budget. Where, when and how the reunion will take place
should give you a rough idea of the money you will need to make it happen.
Once you have figured out how much the reunion is going to cost you need
to decide the rate per family, per person and keep in mind a probable
discount for seniors and kids. Make sure enclose this information with
the invitations and you detail what it includes and what it doesn't.
5. Have your Communications Planner contact all the members to
let them know about the reunion, date, location, lodging options and travel
information. By the end of this phase you should have a final list after
your family members have RSVP'd back.
6. As the reunion event approaches and all the details are finally ironed
out, you may want to publish a final "Agenda" which clearly
states the time and place, the attendees, planned events, outing, entertainment,
food and fun activities. This will help set the mood and excitement for
your reunion, and will help communicate important points, reminders, and
deadlines.
